Outlook 2010: How to Export Emails

When Microsoft published Office 2007, the GUI change made a huge impact on the users. Outlook 2007 was spared at the time, and there was little change in the user interface. It is not so for Outlook 2010. This time, the GUI has completely changed, just like the other Office products.

I spent quite a while trying to figure out how to export emails in Outlook 2010 because of the interface change. I checked online help about exporting, but I didn’t find any help documents related to it. Finally, I found the Import and Export Wizard hidden in the GUI. To get to it, follow the steps:

  1. Click on File -> Open
  2. Click on Import. Yes, they hide the word “export.” Quite confusing, isn’t it?
  3. The Import and Export Wizard shows up. Click on Export to a file and follow the on-screen instructions to finish exporting emails.

  1. No, not Calendar items. When you export to a file, many formats exclude the date and time information for email messages. You end up with the text but no date.

    I was just dealing with this but don’t remember which type of file export was the problematic type.

    Your requirement is export email with calendar detail like date & time from outlook. If you are following above steps for exporting calendar detail from outlook then it is not possible as already all of you discussed over here. So you can export / backup your email item with calendar detail by the help of any third party software. I would like to recommend Stellar Phoenix Outlook Backup Software which helps to export all email message with calendar from outlook and save into new PST file format.

    • You can open up Import and Export Wizard. Choose Export to a file and then pick either Command Separated Values (Windows) or Tab Separated Values (Windows). Both formats can be open by Excel. I am not sure about the automatically part, because everything has to be done manually.
